Title: Pastoral Assistant for Administration

FLSA: Non-Exempt

Status: Part-Time (28 hours/week)

Accountability: All employees assist the Pastor in working toward our mission to see, think, and live like Jesus. This position is accountable to the Pastor.


Purpose: Oversees and directs administrative functions for the parish including human resources, finances, and technology.


Major Duties and Responsibilities:

1. Collaborates with bookkeeper to prepare and administer operating budgets for the parish and school. Supervises bookkeeper.

2. Assures accurate and confidential record keeping systems, including human resource personnel files and parishioner census program Parish-Staq.

3. Maintains office equipment and technology systems. Trouble-shoots basic issues. Works with consultants for major issues and oversees replacement of technology as needed.

4. Directs the preparation and upkeep of asset inventory. Directs preparation of annual report for archdiocese and parishioners.

5. Manages the Human Resources functions including recruiting, training, extended leave, workers-comp, and communication. Review payroll administration as needed.

6. Supervises all administrative-assistant staff. Provides guidance and handles corrective action. Selects and trains new employees. Works in collaboration with Human Resources at the Archdiocese and the pastor and the school principal where employee terminations are deemed necessary.

7. Provides assistance to the School Principal and School Commission in implementing financial policies of the parish as they related to the school and in the development and implementation of the annual budget.

8. Provides administrative assistance and front-office support at Immaculate Heart in Kelso one day per week, including donation-posting.

9. Performs other duties as assigned.


The preferred candidate will have at least three years’ experience in office management. A B.A. degree in a related field is beneficial though not required.

Position open until filled. Salary: $28 to $37/hr, DOE. Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant’s skills and prior relevant experience, degrees, and certifications.
